Information we keep about you on computer
AB aesthetics Limited has Microsoft 365 business which is a highly safe system of storing information about you on our computer’s such as your name, address, telephone numbers, photography and any information that you have sent to us electronically.
Whenever possible or if your information is not required, personal information will be removed and destroyed. If this is not possible, AB aesthetics Limited has in place measures to ensure that our patient’s information is kept safe and secure. Information about you will only be retained for as long as is necessary and for the reason it was collected.
Sensitive personal data
This includes information that relates to your medical or mental health, photography, race, ethnic origin or data about children.
When do we collect personal data about you?
We may collect personal data about you when:

- You make an email or telephone enquiry about a service or treatment.

Telephone calls to AB aesthetics Limited are monitored and details logged so that we can return your call or enquiry. This information is retained for up to 6 months then deleted. Should you become a patient or customer of AB aesthetics Limited, this information is retained for 10 years or after the conclusion of treatment, then deleted.

AB aesthetics Limited employ the services of other medical professionals or independent consultants who may jointly look after you or provide assessment, treatments or services. Medical professionals working with us might be required to review or maintain your AB aesthetics limited Aesthetic records. Access to your information
AB aesthetics Limited are health care professionals caring for you. Keeping records about your health, medical conditions and any treatment or care you receive from us, is either written down in your records or held on a computer.
In order to manage your care and treatment appropriately and safely, it is essential for us to maintain records. Keeping medical and treatment records ensure that health care staff involved in your care are kept up to date and we can correctly assess and review the care and treatment that we provide to you.
You have the right to look at your records or any information that we hold about you. Your treatment records and photography are available to you each time you visit the clinic. You also have the right to have a copy of your records either written or on computer.

Requesting access to your medical notes or personal data is required in writing. Your information will be provided to you within 40 days. However, please note that in certain circumstances for legal reasons, we may not be able to provide you with some information.

Correcting or amending your information
To keep compliant with the GDPR principals, the UK law and our professional bodies, all information and data that we hold about you must be accurate and kept up to date. Should you think any information about you is inaccurate, you have the right to ask us to correct or remove it.

Text or email message reminder service
For the purpose of appointments and treatment reviews, you can now register to receive information by text message. If you wish to register for this messaging service please ask a member of staff about this when you next visit the clinic.
Under the new data protection regulations introduced from May 2018, we will continue to contact patients via text message however, we will only do this if you have provided us with the consent to do so. Sending messages for the management of your ongoing treatment plans is defined as providing good service and providing appropriate management of your care and not for marketing or other purposes.

The importance of sharing your information
For the protection of others and to comply with the law, it may be necessary to share your data and relevant information with others, for example if you have an illness or disease that can spread to others such as meningitis, chicken pox or measles, your information may have to be given to another organisation like your GP or the health authority. Registered practitioners have a statutory duty to notify the local authority or local health protection team if certain illnesses are suspected.
We will of course inform you about this and the reasons why, prior to sharing your medical and personal data.
It is important for AB aesthetics Limited to report problems experienced with medicines or medical devices to identify issues which might not have been previously known about. For example, should you have an allergic or some form of reaction or rare side effect to a medicine administered by AB aesthetics Limited, or a devise used by AB aesthetics Limited, we may have to report it to the manufacturer or the MRHA (medicines and healthcare products regulatory agency). This information may be vital so that an investigation can be conducted. You will be informed about this and about any data they require about you, prior to us sharing such information.

Email is not a secure method of information transmission, therefore if you choose to send or receive information via email, you do so at your own risk. AB aesthetics Limited will never send your photography via email. Photography must be collected in person at AB aesthetics Limited and we may ask you to verify your identity.
